Senior Associate/Assistant Manager - HR OPS

Position Overview: 


As the Assistant Manager – HR Ops, you would play a crucial role in supporting the overall efficiency and effectiveness of the People Practice function. This position involves overseeing various HR functions, including but not limited to onboarding, employee relations, HRIS management, and compliance. The role would require to work very closely with the  HR Leader to implement and improve HR policies and procedures, ensuring alignment with organizational goals. This is a global role and requires managing different regions like India, Malaysia, Singapore, US and UK.



Responsibilities:


Payroll Management & Audit Coordination:

 

  • Processing monthly payroll for employees across countries
  • Coordinating with vendors to ensure accurate and timely payroll processing
  • Coordinating with Finance to work on salary uploads
  • Managing processes of Flexi Basket, National Pension Scheme and Car Lease Policy
  • Ensuring post payroll statutory payments in coordination with Finance
  • Executing full and final settlement of exiting employees within and outside payroll
  • Ensuring reconciliation of payroll files along with Finance Head
  • Maintaining all Audit related documents and data in the right order
  • POC for all audit queries within People Practice function

Employee Relations:


  • Addressing employee inquiries and concerns thereby fostering positive employee relations in the system
  • Assisting in resolving workplace queries, differences and provide guidance on HR policies and procedures


HRIS Management:

  • Managing the HR tool (HRIS) to ensure accurate and up-to-date employee records
  • Generating reports and analyzing HR metrics to support data-driven decision-making
  • Coordinating with HR tool vendor to ensure understanding of upgradation of the interface and smooth experience for users (employees)


Compliance and Policy Implementation:

  • Drafting, implementing and communicating HR policies consistently across the organization
  • Staying updated on labour laws and regulations to ensure company compliance.
  • Working with legal counsel/statutory partners to review and update HR policies and procedures across regions (India, Malaysia, Singapore, US and UK)

Exit Management

  • Conducting exit interviews for resigned employees
  • Ensuring documentation and accurate tracking of resigned employees and incorporating inputs into payroll records
  • Preparing and issuing all exit documents

Documentation Management & MIS

  • Generating all HR documents like employment agreement , increment letters, consultant and internship agreements, designation change letters, etc
  • Preparing monthly MIS on time and closely working with Finance on execution and reco of MIS reports

Performance Management:

  • Managing and executing the quarterly and annual performance review process including the tool used for same
  • Managing goal setting, performance reviews, and development plans and collating all data points for crucial decision making on people

Benefits Administration:

  • Managing health insurance additions and deletions with the partner
  • Evaluating and renewals of insurance policies annually and administration of data for renewal
  • Managing National Pension Scheme
  • Managing Flexi Basket Benefit including sessions with employees, regular research and updation of components
  • Identifying benefits to add to the value proposition of employees.

This individual would manage a small team – one member in Engagement and HR Support and another member in Office Administration.

Skills & Qualifications:

  • Postgraduate in HR or a related field with an experience of 5+ years preferably from a successful start up environment
  • Excellent interpersonal & communication skills
  • Ability to act with integrity, professionalism and confidentiality.
  • Strong understanding of HR principles, practices, and employment laws
  • Proficient in HRIS and Microsoft Office Suite
  • Mandatory to have hands-on experience in end to end payroll processing both manual and on tool
